Running Projects Efficiently -Project Managers' Perspective on Assistant Role and Support
Projects have special characters, like involvement of high risk due to uncertainties caused by the unique service or product they aim to develop. During last years researches have become increasingly interested in factors that may have an impact on the project management effectiveness and success. Project Managers have essential role in the conduct of the project and they need to have expertise on several knowledge areas to efficiently lead the project. However, Project Managers’ work is often characterized by time and scope pressures. Assistants are used in many companies to support the project teams, but there is limited information on how the support assistant gives relates to success of the project. In order to gain in depth knowledge on the areas where assistants support Project Manager, which are the factors that affect how assistant supports Project Managers and what capabilities an assistant should have from the Project Manager’s perspective, a qualitative research approach was used for the thesis. Findings indicate that Project Managers value support assistants bring and that support affects the quality of the project. Tasks assistants carry out, such as maintenance of project documents, collecting information and sharing it, relate directly or indirectly to the success factors of project- and virtual teams as identified in the literature, including communication and utilization of shared communication tools. Support saves significantly Project Managers’ time and allows them to focus on tasks which are essential to the successful conduct of the project like planning and process improvements. Study also shows that Project Managers are willing to delegate the outcome of the tasks but this requires they are confident that tasks are conducted with high quality.
