MANAGEMENT SYSTEM FOR DOCUMENT FILE IN CABINET USING SMART PANEL
The present invention relates to a system for managing documents, and more specifically, to a system for managing documents stored in a cabinet using a smart panel. The system for managing documents stored in a cabinet using a smart panel issues a unique NFC tag which can specify a corresponding document for each document file in which a non-electronic document is stored to attach the NFC tag, and then stores unique information of the corresponding document and the NFC tag together in a document management server to conveniently check a location of a document file and a carryout history simply by tracking NFC tag information. The smart panel having a door lock which can be opened only after receiving authentication from the document management server is installed on the cabinet in which the document files are stored. The NFC tag attached to the document file to be stored in the cabinet or carried out from the cabinet is recognized by a document entry and exit registration unit disposed on the smart panel to continuously and accumulatively store document storage and carryout states in the cabinet in the document management server to easily check the location of the cabinet currently storing the non-electronic document and to obtain the carryout history. When storing or carrying out the document in the cabinet, a voice guiding document entry and exit registration by bringing the NFC tag attached to each document file through contact with the document entry and exit registration unit is played to minimize a possibility of an error for document storage information and an entry/exit history by carelessness of a user who stores the document or carries out the document.
본 발명은 문서 관리시스템에 관한 것으로서, 보다 상세하게는 비전자적인 형태의 문서가 수납되어 있는 문서철마다 해당 문서를 특정할 수 있는 고유의 NFC 태그를 발행하여 부착한 후 해당 문서의 고유정보를 그 NFC 태그 정보와 함께 문서관리서버에 저장함으로써, NFC 태그 정보를 추적하는 것만으로도 문서철이 놓여 있는 장소의 위치와 반출이력 등을 간편하게 확인할 수 있게 함과 아울러, 문서철이 보관되는 캐비닛에는 문서관리서버로부터의 인증을 받은 후에야 개방될 수 있는 도어락이 구비된 스마트 패널을 설치하고, 이러한 스마트 패널에 구비된 문서입출등록부에 캐비닛에 보관하거나 캐비닛으로부터 반출하고자 하는 문서철에 부착된 NFC 태그를 인식시켜, 캐비닛에의 문서 보관과 반출 상태가 상기 문서관리서버에 지속적으로 누적 저장될 수 있게 함으로써, 비전자문서가 현재 보관 중인 캐비닛의 위치를 용이하게 확인하고 반출이력을 파악할 수 있게 하며, 캐비닛에의 문서 보관이나 반출시 문서입출등록부에 각 문서철에 부착된 NFC 태그의 접촉을 통한 문서입출등록을 유도하는 음성을 재생하여 문서를 보관하거나 반출하는 사용자 등의 부주의로 인한 문서보관정보나 입출 히스토리에 대한 오류발생 가능성을 최소화할 수 있게 한 스마트 패널을 이용한 캐비닛 보관문서 관리시스템에 관한 것이다.
